For vendors

Quote, win, ship, get paid, close the file. You personally move four steps of the pipeline.

Who you are

Every user of a vendor organisation holds the Vendor Admin role and sees the same eight pages. Notifications addressed to “the vendor” go to all active users of your organisation, so a colleague can pick up a quotation request or a payment confirmation while you are away.

You never see the client

Which organisation or site an order is for is not shown to vendors — not on screen, not in email, not on the purchase order PDF. Quotation requests name the item and quantity only. You ship to an ATI warehouse and ATI delivers onward, so you never need the destination.

Quoting

Pending Quotations

/quotation/pending
Who
Vendor Admin — vendor only
Where
Sidebar → Pending Quotations
Purpose
Quotation requests ATI has sent you that are still waiting for your price.

Steps

  1. You receive an email (Quotation Request) and an in-app notification.
  2. Open Pending Quotations. Each card is one item you have been invited to quote on, with its quantity, unit of measure, specification and submission deadline.
  3. Click a card to open the request in full and submit your quotation.
  4. If you cannot supply an item, decline it. The request is marked REJECTED and you are not chased for it.
  • Each request carries a submission deadline. ATI can extend it, and you are emailed and notified when they do.
  • The card shows the item name only. No client identity is present anywhere in it.

Submit a quotation

/quotation/[id]
Who

Where
Click a card on Pending Quotations
Purpose
Give ATI your price and terms for one item. A two-step form: Your Quote, then Review.

Steps

  1. Read the item description, quantity and deadline before pricing anything.
  2. Your Quote — enter the Price per unit (required, greater than zero), the Agreed quantity (defaults to what was asked for), and the Delivery date (required, today or later).
  3. Fill in the Item description — what you are actually supplying — plus Warranty period and its unit, Warranty terms, After-sales support, and any Remarks.
  4. Add your own clauses under Custom terms and conditions if you have any.
  5. Review — check the preview and submit.
What happens next

Your response is recorded at PARTICIPATE and the request moves to ACCEPTED. ATI's Procurement department is notified and compares your price against the other invited vendors. If you win, a purchase order is issued to you and you are notified. If you do not, your response is marked REJECT — no separate notification is sent for a loss.

Watch out

Prices are in BDT, and you must not add VAT or tax. ATI applies the current rates centrally when it selects a winner — a quote with tax built in is not comparable to the others and will read as more expensive than it is.

  • A request can be quoted once. Opening a request that is no longer REQUESTED simply returns you to the list. To revise a price, ATI must reopen the round.
  • You are quoting against other suppliers. You never see how many were invited or what they quoted, and they never see yours.

Orders and shipping

All Purchase Orders

/po-record/all
Who
Vendor Admin
Where
Sidebar → All Purchase Orders
Purpose
The orders ATI has placed with you.

Steps

  1. You are notified (Purchase Order Issued) and emailed the purchase order.
  2. Open All Purchase Orders and filter or search to find it.
  3. Click an order for its lifecycle and to download the PDF.
  4. Ship against it from Shipment & Delivery.

Status

  • ISSUEDLive — ready for you to ship
  • PAIDATI has prepared your payment
  • COMPLETEDClosed — you completed the VAT/Tax record
  • These are the only three statuses a purchase order actually takes, whatever else you may see referenced elsewhere.
  • The order names the destination warehouse, not the client site.

Shipment & Delivery

/shipment
Who
Vendor Admin — vendor only
Where
Sidebar → Shipment & Delivery
Purpose
Dispatch goods against a purchase order.

Steps

  1. Open Shipment & Delivery. Orders available to ship are listed.
  2. Choose the order and select the items and quantities you are dispatching. Partial shipment is supported — you do not have to send everything at once.
  3. Fill in the dispatch details: Destination warehouse (required), and optionally Expected date, Carrier information, Tracking number and Remarks.
  4. Confirm the dispatch.
What happens next

The shipment is recorded as IN_TRANSIT and the items as SHIPPED. ATI's Procurement department is notified to expect the delivery. When the warehouse confirms receipt the items move to RECEIVED, and ATI's internal delivery to the client begins.

Watch out

The order must be ISSUED. A shipment against an order in any other state is rejected. If an order will not accept a shipment, check its status on All Purchase Orders first.

Getting paid, and closing the file

Payment & Invoices

/payment
Who
Vendor Admin — vendor only
Where
Sidebar → Payment & Invoices
Purpose
See what ATI owes you, and confirm when you have been paid.

Steps

  1. When ATI prepares your payment you are notified — Cheque Prepared for Payment or Cash Ready for Payment — and emailed.
  2. Open Payment & Invoices to see the payment, its method and its reference.
  3. Collect the payment.
  4. Acknowledge receipt in Procufy.
What happens next

The bill moves to PAYMENT_COMPLETED. ATI's Assistant Account Manager then uploads your VAT and tax copies, and you close the file on the next page.

Watch out

Acknowledging is required. The bill cannot be closed until you confirm receipt, and unclosed bills hold up ATI's reconciliation.

  • Understanding the timing: the purchase order shows PAID as soon as ATI prepares the cheque or cash — before you have collected it. Your acknowledgement advances the bill, not the order.

VAT & Tax Documents

/vendor-vat-tax
Who
Vendor Admin — vendor only
Where
Sidebar → VAT & Tax Documents
Purpose
The statutory documents ATI needs from you after payment — VAT challans, tax certificates and related paperwork. This is the last step in the whole process, and you are the one who completes it.

Steps

  1. ATI's Assistant Account Manager uploads the VAT and tax copies for your bill. You receive an email.
  2. Open VAT & Tax Documents. Each record shows the bill and its documents.
  3. Open a record to preview the documents on file.
  4. Complete the record.
What happens next

The bill moves to COMPLETED and the purchase order moves to COMPLETED. The transaction is closed end to end, and nothing further happens on it.

  • An order that stays at PAID is usually waiting for exactly this. Completing the VAT/Tax record is what moves it to COMPLETED.

Transaction Dashboard

/transactions
Who
Vendor Admin — vendor only
Where
Sidebar → Transaction Dashboard
Purpose
Your commercial relationship with ATI in one view — quotations, orders, deliveries and payments.

Getting an account

  1. ATI's Procurement department registers your organisation with your trade details, BIN/TIN and receiver email address.
  2. A Vendor Admin account is created against that email address.
  3. You verify the address with a one-time code (OTP).
  4. You sign in and change your password immediately.
Watch out

Your organisation must be active to be invited to quote. An inactive vendor record is skipped when Procurement builds a quotation request — so if you have never been invited, that is the first thing to check with ATI.
