For clients

You do two things in Procufy: ask for goods, and confirm they arrived. Here is all of it.

Who you are

RoleSeesData scope
Client AdminAll six client pagesThe whole client organisation, every unit
Unit AdminThe same six pagesOnly your own client unit

The two roles hold identical permissions. What differs is the data: a Unit Admin's requisitions, deliveries and stock are filtered to their own unit. If you can see less than a colleague, this is usually why — not a permission problem.

Note

A client organisation can be split into client units — separate sites or divisions that order and receive independently. Drug International Limited, for example, has HO, MMU, UNIT-1, UNIT-2 and UNIT-3.

Your journey

What you actually do

Rule

Everything between your request and your delivery — finding suppliers, comparing prices, ordering, shipping — is handled by ATI's Procurement department and is invisible to you by design. You are not missing a screen.

Raising a requisition

Create Requisition

/requisition-form
Who
Client Admin, Unit Admin — client only
Where
Sidebar → Create Requisition
Purpose
Raise a new request for goods or services. This is where the whole pipeline starts.

Steps

  1. Open Create Requisition from the sidebar. It is a three-step form with a live preview beside it, so you can see the requisition take shape as you fill it in.
  2. Details — set the Expected date (when you need the goods) and the Priority: LOW, MEDIUM, HIGH, URGENT or OTHER. Both are required. Add a Remark if there is anything Procurement should know.
  3. Items — add at least one line. Each needs an Item name, a Unit of measure and a Quantity (a whole number, at least 1). The Description is what vendors actually quote against, so write it properly.
  4. Add as many lines as you need. Each one is quoted and ordered separately, so unrelated items can safely go on one requisition.
  5. Review — check the preview, attach your supporting documents, and submit.
What happens next

Your requisition is created at PENDING and each item at SUBMITTED. ATI's Procurement department is notified immediately and reviews it. Once they approve, the quotation round begins and you can follow progress in Requisition Summary.

Watch out

At least one attachment is mandatory. The form will not submit without a supporting document — attach the specification, drawing, quotation reference or requirement note. This is the most common reason a requisition will not go through.

  • Available units of measure: piece, unit, kilogram, gram, tonne, pound, litre, millilitre, gallon, box, case, pack, set, bundle, metre, centimetre, foot, square metre, square foot, hour and day.
  • You cannot raise a requisition on behalf of another client. Your organisation and unit are taken from your account, not from the form.

Tracking what you asked for

Requisition Summary

/requisition-summary
Who
Client Admin, Unit Admin
Where
Sidebar → Requisition Summary
Purpose
Track every requisition you have raised, from submission to delivery.

Steps

  1. Open Requisition Summary. You see only your own organisation's requisitions; a Unit Admin sees only their unit's.
  2. Search by reference or item name, or narrow the list with the date range filter.
  3. Click a requisition to open its lifecycle — a timeline of every event: submitted, approved, quoted, ordered, shipped, received.
  4. From the lifecycle, click an individual item to see that item's own history.

Status

  • PENDINGSubmitted, waiting for Procurement to approve
  • APPROVEDApproved — the quotation round is under way
  • REJECTEDNot approved. Contact Procurement
  • PARTIALLY_RECEIVEDSome items delivered and confirmed, others still in flight
  • COMPLETEDEvery item delivered and confirmed
  • CANCELLEDWithdrawn
  • The lifecycle shows your requisition's own journey. It does not show vendor names, individual quotations, which supplier was chosen, purchase orders or procurement pricing — that is the client↔vendor separation applied deliberately here.

Confirming a delivery

Receive Items

/requisition-receive
Who
Client Admin, Unit Admin — client only
Where
Sidebar → Receive Items
Purpose
Confirm that a delivery arrived. This is the step that closes a requisition — nothing is considered delivered until you do it.

Steps

  1. You receive a notification — Item Delivery In Transit — with a link to this page.
  2. Open Receive Items. Each in-transit delivery is listed as a card.
  3. Check the goods physically against the card before confirming anything.
  4. Open the delivery and record the Location where you are storing the items (required), and Notes if you need them (optional).
  5. Confirm.
What happens next

The delivery and the item both move to COMPLETED, and the items are added to your client stock at the location you gave. The requisition is then recalculated — COMPLETED if every item has now landed, otherwise PARTIALLY_RECEIVED. ATI's Finance department is notified that the order is ready to be billed.

Watch out

Confirm promptly. The supplier is not paid until you confirm the delivery and the finance chain completes behind it. Leaving receipts unconfirmed stalls somebody's payment.

  • You accept a delivery as it was sent — confirmation is per delivery, not line by line. If what arrived does not match, contact Procurement before confirming.

Your other pages

Dashboard

/dashboard
Who
Client Admin, Unit Admin
Where
Sidebar → Dashboard
Purpose
Your landing page after signing in. Shows what currently needs your attention.
  • Look for items in transit — deliveries on their way to you, which you click through to confirm — and pending requisitions still awaiting Procurement's approval.

Overview

/overview
Who
Client Admin, Unit Admin — client only
Where
Sidebar → Overview
Purpose
Counts and totals across your requisitions and deliveries, so you can see volume and progress without opening individual records.

Reports

/reports
Who
Client Admin, Unit Admin
Where
Sidebar → Reports
Purpose
Analytics over your procurement — volumes, values and trends. Filter by month-year or by an explicit date range.
  • Figures are scoped to your own organisation.

What you cannot do

These are not restrictions to work around. They are deliberate boundaries, and knowing them saves you looking for screens that are not there.

You cannotWhy
See vendors, their quotes, or who wonClient↔vendor separation, enforced in the data itself
See purchase ordersPurchase orders are between ATI and the supplier. You track progress through the requisition lifecycle instead
Approve your own requisitionProcurement reviews every request
Choose the supplierProcurement runs the competitive round
Open Finance pagesBilling is between ATI and the supplier
Open InventoryWarehouse stock belongs to Procurement. You hold client stock, which is a different thing
Note

Your client stock is recorded every time you confirm a receipt, but there is no client stock page in Procufy today — the Stock screen is a placeholder. Your visible record of what you have received is the requisition lifecycle.
