What Procufy is
Procufy is a procurement management system operated by ATI Limited. It runs the complete purchasing cycle for a group of client organisations — from the moment somebody asks for an item to the moment the supplier is paid and the paperwork is filed.
It exists to replace procurement done over email and spreadsheets with one system where every request is traceable, suppliers compete on price through a structured quotation round, money moves only through a recorded multi-person approval chain, and clients and suppliers never see each other's information.

There are four kinds of user organisation in Procufy, called stakeholders. Which one you belong to decides almost everything you see.
| Stakeholder | Who they are | What they do here |
|---|---|---|
| Administration | ATI Limited staff | Run procurement, run finance, administer the system |
| Client | The sister concerns that order goods | Raise requisitions and confirm deliveries |
| Vendor | External suppliers | Quote, ship, invoice, get paid |
| Project Management | ATI's internal product and engineering team | Maintain system configuration |
A vendor never learns which client or site an order is for. A client never sees vendor identities, their quotes, or which supplier was chosen. This is not a display setting — it is enforced in the data the system returns, in every email, and in every generated PDF. If a screen seems to be hiding something from you, this is usually why.
Getting an account
Procufy has no public sign-up. There is no “Register” button, and there is not meant to be one.
- An ATI administrator creates your organisation, and then your user account against your work email address.
- You receive a one-time code (OTP) by email and verify the address. The account is not usable until you do.
- You sign in with the password you were given, and change it immediately.
Accounts are created with a shared default password. It is the same for everyone, so an account still using it is not protected. Change it at Profile the first time you sign in.
No OTP arrived? Check the spam folder first, then confirm with your administrator that the address on your account is spelled correctly — the code goes to the address on file, not to the one you typed at sign-in.
Signing in and staying in
Sign in with your email address and password. Your session is held in your browser: a short-lived token that the app renews silently in the background, and a longer-lived one behind it. In normal use you stay signed in and never notice the renewal.
If both expire — after a long gap, or on a machine you have not used for a while — you are returned to the sign-in screen and then sent straight back to the page you were trying to open.
Your permissions travel inside your session token, which is issued when you sign in. So if an administrator changes your role while you are working, nothing changes on your screen until you sign out and back in. This is the single most common “it didn't work” in Procufy — sign out and in again before reporting a problem.
Finding your way around
Every screen in Procufy belongs to exactly one of six modules, and the sidebar groups them that way. You will not see all six — you see the modules your stakeholder and department are entitled to.
| Module | What it covers | Mainly for |
|---|---|---|
| Overview | Dashboards and reporting | Everyone |
| Procurement | Requisition, quotation, purchase orders, receiving | Procurement department, clients |
| Finance | Billing, approvals, payment, VAT and tax records | Finance department |
| Inventory | Warehouse stock | Procurement department |
| Vendor | The vendor's own workspace | Vendors only |
| Set Up | Master data, users, roles, permissions | Administration |
Three things are always there, whoever you are: Dashboard, which is your landing page and adapts to who you are; Profile, where you change your password and details; and Notifications, the bell.
Notifications and email
In-app notifications appear under the bell and arrive live — you do not need to refresh. They are raised at every hand-off point in the pipeline: a new requisition for Procurement, a quotation request for a vendor, a bill awaiting authorisation for a Senior Account Manager. Most carry a link straight to the page where you act on them, so the fastest way to work is usually to click the notification rather than to navigate.
Email carries the same events to people who are not signed in — email verification, quotation requests, deadline extensions, purchase orders, finance notifications, payment-ready alerts and VAT/tax copy requests. Vendors and clients are reached by email first; the app is where you then act.
Notifications addressed to an organisation go to all of its active users, not to one named person. A colleague can pick up a quotation request or a payment confirmation while you are away.
Nothing is deleted, everything is recorded
Records in Procufy move through statuses rather than being removed. Every stage keeps its own history, and a system-wide audit log records user, tax, mail, authentication, vendor and client events. Organisations and users are deactivated, suspended or archived — never destroyed.
This is deliberate. A procurement trail that can be edited away is not a trail. If something looks wrong, the fix is a new recorded action, not an erasure.
